Finding & Importing Leads with Lead Finder

Lead Finder connects SwiftlyCRM to the Google Places API so you can search for real businesses by keyword, location, and category and import them directly as contacts — without ever leaving the CRM.

What Lead Finder Does

Lead Finder sends a query to Google Places and returns a list of matching businesses with their name, address, phone number, website, and Google rating. You review the results, select the ones you want, and import them as Contact and Account records in your branch. It eliminates manual data entry and keeps your pipeline topped up with qualified local prospects.

Running a Search

Open Lead Finder from the sidebar. Fill in the three search fields:

Click Search. Results load within a few seconds and are displayed as a card grid with the business name, address, rating, and website.

Reviewing Results Before Import

Each result card has a checkbox. Before importing, review the list carefully:

  • Expand a card to see the full address and phone number
  • Check the Google rating and review count as a quick quality signal
  • Deselect any results that are clearly out of scope (e.g., wrong industry, permanently closed)

Note

You are not billed for searches or views — quota is only consumed when you run a search (not when you browse results).

Importing Selected Results

After selecting the records you want, click Import Selected. SwiftlyCRM creates:

  • An Account record for the business (Company Name, Website, Phone)
  • A Contact record associated with that Account (populated from available data)

All imported records are tagged with the search keyword and date so you can identify their source later.

Duplicate Detection During Import

Before creating a new record, SwiftlyCRM checks whether a Contact or Account with the same website domain or phone number already exists in your branch. If a match is found:

  • The duplicate is flagged in the import summary
  • You can choose to skip that record or merge it with the existing one
  • Non-duplicate records from the same batch import successfully regardless

Quota Usage

Lead Finder searches are metered per Organisation per billing period:

Your current quota and usage are shown at the top of the Lead Finder page. Once your quota is exhausted, searches are blocked until the next billing cycle or until you upgrade. Imported records are not counted separately — only search actions consume quota.

Viewing the Import Audit Trail

Every import action is logged in Lead Finder → Import History. Each entry shows the search query, the number of results imported, the user who ran the import, and the timestamp. Click any row to see which specific records were created, with links to the Contact and Account pages.

Tips for Effective Searches

Get better results

Use specific keywords rather than broad categories — "HVAC contractor" returns more targeted results than "contractor". Combine a narrow keyword with a specific suburb for less noise. Run multiple focused searches rather than one broad search for more control over quality.
