Currencies and Exchange Rates
SwiftlyCRM works in the currency you trade in. Choose a currency for your workspace, give a branch its own if it trades in another, and record each deal, proposal or invoice in the currency it is actually in. Wherever amounts are added up, SwiftlyCRM converts them into your currency first.
Set Your Workspace Currency
Go to Settings → Currency. Changing it needs an organisation admin - see "Who Can Change Currency Settings" below.
Pick your currency from the list - 61 are supported, including every African currency. Search by code or by name, for example "KES" or "naira".
Your workspace currency is:
- the currency new deals, proposals, invoices and other records start in
- the currency your dashboards, reports and totals are shown in
Workspaces created before September 2026
If you had already chosen a currency in your settings, it was carried over. Otherwise your workspace starts in US dollars - open Settings → Currency and change it if that is not the currency you trade in.
Give a Branch Its Own Currency
A branch that trades in another currency can have its own - a Nairobi office can work in shillings while head office works in rand.
Under Settings → Currency, in the This branch card, choose a currency, or leave it on the organisation currency. Records created in that branch start in its currency, and people in that branch see their dashboards totalled in it.
Record Each Amount in Its Own Currency
Every record that holds money has a currency: deals, proposals, invoices, contracts, catalog items, projects, commissions, sales targets and acquisition costs. New records start in your currency; change it on the form when a deal is priced in something else.
A record always shows its own currency - a deal priced in dollars shows dollars wherever it appears. Only totals are converted. Commissions are always in the currency of the deal they come from.
How Totals Are Converted
| Where | What you see |
|---|---|
| Dashboard, pipeline, Pipeline Monitor, Performance | Totals converted into your currency |
| Sales Tracker | Each rep's progress in their target's own currency; team totals converted into yours |
| Reports | Grouped totals converted into your currency; listed records in their own currency |
| Commissions | Each commission in its deal's currency; summary totals converted into yours |
| Lists sorted by value | Ranked by what each record is worth in your currency |
Exchange rates come from a daily feed, and Settings → Currency shows when they were last refreshed. Every conversion goes through your workspace currency, so the same deal is worth the same amount on every page and in every branch.
Missing rates are never guessed
If a rate is ever unavailable for a currency, amounts in that currency are left out of the total, and the page tells you which currencies were excluded. SwiftlyCRM never adds a foreign amount at face value.
Set Your Own Exchange Rate
If you plan at a fixed internal rate, set it yourself. Under Settings → Currency → Exchange rates, find the currency, choose Set rate, and enter what one unit of it is worth in your currency. Your rate is then used everywhere in your workspace instead of the daily feed. Reset it to go back to the daily rate.
If you later change your workspace currency, any rates you set against the old currency are flagged so you can enter them again.
Amounts on Documents
Choose how amounts appear on invoices, proposals and contracts, under Settings → Currency → Amounts on documents:
| Option | Example | Best for |
|---|---|---|
| Symbol | R1,500.00 | Local clients |
| ISO code | ZAR 1,500.00 | Cross-border clients, where a symbol like "$" could mean several currencies |
The client portal shows amounts the same way as the PDF. Each currency uses its own decimal places - the Ugandan shilling has no cents, for example.
Fix Records Entered in the Wrong Currency
Before multi-currency, every amount in SwiftlyCRM was labelled US dollars - even if you were typing rand or naira. When you change your workspace currency, SwiftlyCRM offers to relabel records that are still in the old one. You can also do it at any time: Settings → Currency → Relabel existing records, then pick the currency they are labelled as.
- Relabelling keeps every number exactly as entered and only changes the label - 250,000 stays 250,000. It is not an exchange-rate conversion.
- Choose which kinds of records to relabel - for example, relabel your deals but keep catalog items that really are priced in dollars.
- Invoices, proposals and contracts are never relabelled. A document you have issued stays exactly as it was sent.
- Branches with their own currency are left alone.
Your subscription is not affected
These settings change how amounts are recorded and shown inside your workspace. They do not change your SwiftlyCRM subscription or how you are billed.
Who Can Change Currency Settings
The workspace currency, exchange rates, how amounts appear on documents and relabelling apply to the whole organisation, so they are changed by organisation admins. The person who signed your workspace up is one. Other Admins can see these settings but not change them. A branch's own currency can be set by that branch's Admins.
An organisation admin can make another Admin an organisation admin: go to Settings → Users, click Edit on the person, switch on Organisation admin and save. Organisation admins are marked Org admin in the user list.
Keep at least two
If only one person can change exchange rates and they are away, nobody else can. Make at least two people organisation admins. SwiftlyCRM never lets you remove, deactivate or delete the last one, so your organisation is never left without one.
Only people with the Admin role can be organisation admins, because it gives them access to every branch.
On a Phone
The mobile app shows every amount in its currency and totals converted into yours. Currency settings themselves are managed from a computer.
